With work order management, Hiboo becomes your central dashboard for organizing maintenance activities.
You can create a work order to address a one-off need.
All work orders are centralized, whether they are automatically generated through a maintenance plan or created manually.
Each work order can be tracked, with key information recorded throughout its lifecycle.
Basics
Create a work order
Go to
Maintenance > Work Orders > Create a work order.Fill in the creation form.
Confirm the creation of the work order.
Create a work order from a document
When you already have an invoice, repair report, or intervention sheet, you can use it to create a work order without entering the same information manually. Hiboo uses AI to identify the relevant details in the document and automatically creates the work order.
In the work order creation form, click "Import a document" and select your file.
You can then review and edit the generated information. The original document remains attached to the work order, keeping the source and maintenance record together.
Always review the extracted information before using or closing the work order.
Note: to process your documents, this feature relies on AI tools from Mistral, a French company.
Track and manage work orders
Overview – In the work orders table, you can view all work orders across your fleet and sort them according to your needs.
Work order details – By clicking on a work order, you can access its details and track its progress from creation to closure.
Comments – Work orders can be commented on to facilitate collaboration.
Assignment – Work orders can be assigned to a team member. The assigned person will be notified in the application and by email.
Work order types
Work orders can be categorized by type:
Preventive
Corrective
Regulatory
Other
Close a work order
Open the work order you want to close.
Click Close.
Enter the work order duration, start and end dates, and add any relevant notes.
Link an issue to a work order
To optimize your workflow, you can generate a work order directly from an issue creation. This method creates an automatic link between the issue and the work order, thus avoiding double data entry.
Once the work order has been created from the issue, you can view the linked information in the following two places:
From the Issue: The associated work order is accessible directly on the global issue page as well as in the details view.
From the Work orders: The original issue is visible on the global work orders page as well as in its details view.

Can I link an existing work order to an issue?
Can I link an existing work order to an issue?
You cannot manually link an existing work order to an issue from the work order page. The link must be established at the time of creation, from the issue.
Exception: Modifying or adding an issue link from an work order record is only possible if that work order already had an issue associated with it originally.
