Document expiration alerts notify you before a compliance document expires on one of your machines. They are especially important for statutory inspection records, such as LOLER thorough examination reports for lifting equipment and other PUWER-related inspection documents. If one of these documents is overdue, the machine may no longer be compliant for use at work, which can expose your company to enforcement action, fines, and serious consequences in the event of an inspection or incident. With alerts, you stay ahead of renewals instead of discovering problems too late.
Basics
You set up an alert by defining a lead time and a list of recipients. Hiboo continuously monitors the expiration dates of your documents and automatically sends a summary email to the chosen recipients, at the frequency you've defined.
Setting alert conditions
You choose how many days before expiration the alert triggers, which machines it covers (your entire fleet, a segment, or a fixed list), who receives it, and at what frequency. These settings make it possible, for example, to create an alert specific to a type of equipment or a branch, with tailored recipients and lead times.
Receiving and handling alerts
The summary email lists the affected documents, the associated machines, and their expiration dates. Each entry includes a direct link to upload the renewed document. The goal is to process renewals as emails come in, before documents actually reach their expiration date.
