Utilization rate

Everything you need to know about utilization rate and how it’s calculated.

Overview

The utilization rate measures how much a machine is used compared to its available working potential. As a result, it helps assess how profitable the machine is for your organization.

It helps you:

  • Size and allocate your fleet correctly

  • Identify under-utilized or over-utilized machines

  • Track performance over time

Calculation explained

The utilization rate indicates the level at which a machine has been used relative to its potential.

Utilization rate = Usage hours / Available hours

  • Operating hours are the actual hours during which the machine is running.

  • Available hours represent the theoretical volume that your fleet's machines could achieve if used at full capacity. The calculation is as follows: working days in the period × hours per working day (as defined in your organization) × number of machines in the workspace over the same period. In practice, for each machine, only its working days of presence in the workspace are counted — from when its first data is received, up to any eventual archival..

  • For a given period and fleet, the utilization rate is calculated as the total operating hours divided by the total available hours.

Example

  • Period: 2 calendar weeks, i.e. 10 working days

  • Fleet: 3 machines with 8 available hours per working day

  • Usage: Machine A: 60 h, Machine B: 50 h, Machine C: 0 h

Calculation

  • Available hours = 3 × 10 × 8 = 240 h

  • Operating hours = 60 + 50 = 110 h

  • Utilization rate = 110 / 240 = 45%

You can configure available hours specific to some machines: they then replace the organization-wide value over the periods concerned. See the Per-machine available hours section below.

Configure the utilization rate

ℹ️ Only organization administrators can configure or modify the utilization rate. Any change impacts the entire organization.

In Administration > Usage, you can configure the utilization rate using two parameters:

  1. Available hours : these hours are used as the denominator in the utilization rate calculation (see above). You can define available hours at the scale that suits you (day, week, month, year), and the system will automatically handle the conversion.

  2. Objective : this is the utilization rate you aim to reach. This parameter does not affect the utilization rate calculation.

Hourly objective per machine

🚧 This feature is rolling out progressively and may still evolve.

Not every machine has the same usage profile. A mini-excavator assigned to a one-off job site doesn't have the same expected hours as a telehandler in continuous rotation. Per-machine available hours let you adjust that volume for specific machines over the periods concerned. The utilization rate objective itself remains a target shared across the entire organization.

A per-machine rule is made of a start date, an expected usage duration, and optionally an end date and an explanatory note. A single machine can accumulate several rules over time, forming a history you can review.

You can:

  • Set a rule for a single machine, or apply the same rule to several machines in one action.

  • Review the full history of rules set on a machine and how they evolved over time.

  • Edit or delete existing rules, individually or in bulk.

Good to know:

  • When a new rule starts after a previous open-ended rule, the previous one is automatically closed the day before, to avoid any overlap.

  • Workspace administrators must provide a note justifying each change; organization administrators are exempt.

  • Deleting a machine also deletes its associated rules.

  • In Usage hours tracking, the display of machine-days by usage status (objective met, underused, inactivity) is based on the available hours applicable that day: the rule specific to the machine if one exists, otherwise the organization's default available hours.

Analyze the utilization rate

You can find the utilization rate in several areas of the application, but the Utilization rate report provides the deepest level of analysis. There you can:

  • Visualize utilization trends over time.

  • Filter to focus on part of your fleet.

  • Use usage hours per day and days of use to understand how utilization is distributed.

FAQ

Can my utilization rate be higher than 100%?

Yes. This happens when operating hours exceed the configured available hours. For example, this can occur when a machine operates in three shifts (24/7) on a site while your organization’s available hours are set to 8 hours per day.
